FrontAssist offers a powerful, flexible and easy-to-use total solution for digital visitor reception. Whether you are a small business or a large, international company with multiple locations, our software is designed to simplify your processes and improve the experience for both visitors and employees.

What does our software do?

FrontAssist enables both pre-registrations and self-registrations for visitors.

Employees can easily invite their visitors via their own (Outlook) calendar, after which the visitor immediately receives an e-mail with a QR code, pin code and any necessary instructions (e.g. parking options), in your company’s house style.

Upon arrival, visitors can check in quickly and easily through the digital reception system. Visitors can also register manually by filling in the required fields.

In addition, visitors may be required to accept security or house rules during registration.

The employee receives immediate notification once the visitor has arrived, such as via e-mail, text message or telephone connection.

Upon departure, visitors can check out the same way, so you have a precise record of who is in your building, at what time and for how long.

How it works

In a nutshell

Button for button

The digital reception comes in your corporate identity and includes a customizable header image, a welcome message and buttons that you can make active and inactive. Visitors can select a desired language via the selector at the bottom.

Check in

After clicking this button, a screen appears where visitors can check in using a QR code, PIN or manual registration. Visitors can accept advance (security) instructions before checking in.

Check out

After clicking the button, a screen appears where the visitor can check out using the same QR/pin code or by entering their name if they checked in manually. This gives you insight into who was in your building and when.

Delivery

Suppliers can easily notify an employee of their arrival by clicking the delivery button and selecting the recipient, and a notification will be sent.

Optionally, a fixed contact can be linked instead of the option to search for a contact. We also offer a food delivery button with the same features.

Call reception

Upon clicking this button, a phone call immediately starts with a preset number, or a selection menu appears with multiple calling options. Ideal for unmanned receptions: visitors can quickly get in touch with the right employee and personal contact remains guaranteed.

Overview

After entering a secret code (which you can change yourself) on the touch screen, you get an overview of visitors who have checked in today but have not yet checked out. Has a visitor not checked out? Then you can do this immediately.

Wi-Fi

After clicking the Wi-Fi button, visitors can immediately connect to the network in your building. This prevents visitors from having to search for a network or enter login codes themselves.

Visitor registration information

Employees can email visitors in advance with the QR and PIN for check-in and check-out. This speeds up the check-in process and ensures visitors know in advance what to expect, including any instructions.

One email address must be linked to the digital reception system. We offer meet@digitalreception.app, but you can also use your own email address, such as reception@bedrijfsnaam.nl. When an employee creates an invitation in Outlook or Google Calendar, they add the reception email address next to the visitor(s)’ email address. This simple action ensures that the visitor automatically receives an email with registration information, and the staff member receives confirmation that the invitation was created and sent correctly.

The online portal

The online portal offers complete control over the digital reception. Here you can manage visitor registrations, set up notifications, add employees and adjust
settings.

You have access to real-time overviews of visitors,

including check-in and check-out times, and can easily export data to Excel.

The portal is intuitive and secure, and allows you to customize the reception experience, such as customizing the corporate identity and setting desired languages.

Setup and support

We ensure that the digital reception is fully functional and correctly configured at the time of installation. For this, you will receive a form where you can provide
with the necessary information.

Based on this information, we will configure the complete reception for you, but you can always configure yourself later

make adjustments through the online portal.

In addition to the information required for installation, this document also includes several tutorials, including how to integrate with Active Directory or how to set up a custom
email address for Outlook integration.
